Organiser Terms
Ashvyn Limited (NZBN 9429053917249) · Last updated 21 September 2026
Ashvyn GO was previously called Ashvyn Tickets. The name changed on 29 October 2026; the operator and these terms are otherwise unchanged.
Self-service organiser sign-up is not open yet. These terms describe how it will work and apply to organisers from the date it opens.
These terms explain what you can expect from Ashvyn GO, and what we expect from you, when you list events through a self-service organiser account.
1. Who these terms are between
These terms are between you (the organiser) and Ashvyn Limited, a New Zealand company (NZBN 9429053917249) that operates Ashvyn GO (“Ashvyn”, “we”, “us”). They apply when you create an organiser account or list an event through Ashvyn GO, together with the Event Listing Guidelines and the Content & Image Rights Acknowledgement, which form part of them.
You accept these terms only by ticking the acceptance box in the organiser account flow; merely reading this page does not accept anything.
2. What is offered at launch
- Self-service organiser accounts support free registrations only. Self-service paid ticketing is not currently available. You may prepare paid ticket types while an event is a draft, but paid tickets cannot be sold through a self-service account.
- Separately managed paid ticketing may be offered by Ashvyn under additional or different terms that we agree with you in writing. Those terms apply to that arrangement instead of, or in addition to, these.
- You must not present a paid event as free and then require compulsory payment separately (for example, a “free” listing that charges a mandatory entry fee at the door or through another channel).
3. Your account
You must give accurate organiser information and keep it up to date. You must have authority to act for the organisation you register, and to list and manage the events you submit. Your email address must be verified before you can submit events, and you are responsible for keeping your credentials secure and for what is done using your account. Tell us promptly if you believe your account has been accessed without permission.
4. Whether you are acting “in trade”
Consumer law treats organisers acting in trade differently from private individuals, so we ask you to say, accurately, whether you are acting in trade for the events you list through Ashvyn. Whether someone is in trade depends on the nature and regularity of what they do and other business-like factors, not only on whether they make a profit; the Commerce Commission publishes guidance on what being in trade means. We cannot give you legal advice about how the law applies to you; if you are unsure, get advice.
You must answer honestly, keep the answer up to date, and tell us if it changes. Ashvyn may show your answer to customers on event pages, alongside your organiser name, and does not show your private contact details in doing so.
5. Accurate, genuine events
You must list only genuine events that you have the authority to run, and every detail must be accurate and not misleading — including the title, date and time, venue, price and any fees, age restrictions, capacity, performers and access conditions. In particular you must not:
- use misleading descriptions or prices;
- create fake scarcity, fake popularity or false attendance claims;
- use fabricated endorsements or deceptive countdowns;
- claim an “official”, sponsored or affiliated status you do not have.
The Event Listing Guidelines set out what we look for in more detail.
6. Review and publication
Submitting an event does not guarantee that it will be published. Ashvyn manually reviews events, and an event moves through these statuses: draft, pending review, changes requested, published, rejected, suspended and cancelled. An event that has passed its date is shown as ended. We may approve an event, ask for changes, reject it, or later suspend or remove it, in line with these terms and the Event Listing Guidelines.
Our approval is not a promise that an event is lawful, safe or accurate, and it does not mean Ashvyn organises, sponsors, endorses or guarantees the event. You remain the organiser and are responsible for it.
7. Editing a published event
Once an event is published, some details may be locked or may need to be reviewed again before a change takes effect, particularly changes that could affect people who have already registered. Where you make a material change, you must tell registered attendees appropriately, and we may ask you to resubmit the event.
8. Your responsibilities as organiser
You are responsible for delivering your event and for compliance with the laws and obligations that apply to it, including:
- venue arrangements, licences and permits (including any alcohol licensing and music or performance licences);
- health, safety and crowd management;
- age restrictions and entry conditions that you have disclosed;
- your obligations to attendees under consumer law, including refunds where the law requires them.
Ashvyn provides registration, ticket delivery and entry-scanning tools. Those are our responsibilities. Everything else about running the event is yours.
9. Attendee information
When people register for your event, Ashvyn makes limited attendee information (name, email address, ticket and check-in details) available to you. You may use it only for legitimate administration of that event — for example, telling people about changes and running entry — unless another lawful basis applies. You must not use attendee information for unrelated marketing, sell it or pass it on, and attendee lists must not automatically become marketing lists. You are responsible for your own obligations under the Privacy Act 2020 for information you hold, and must keep it secure and delete it when you no longer need it.
You must use QR codes, check-in and attendee-management tools only for the event they belong to, and must not misuse another organiser’s or an attendee’s ticket.
10. Your content and our licence
You keep ownership of the content you submit (text, images, artwork, logos and other material). You give Ashvyn a non-exclusive, worldwide licence to host, store, reproduce, resize, optimise, process and display that content, and to promote your event, for the purpose of operating Ashvyn GO. This licence does not transfer ownership. It ends when the content is removed, except for copies we need to keep for legal reasons or that are in ordinary backups.
Your content must not be unlawful, fraudulent, misleading, or infringe anyone’s copyright, trademark, privacy or other rights. You must own the content or have permission to use it; finding an image online does not give you permission. See the Content & Image Rights Acknowledgement. You will be asked to confirm this each time you submit an event.
11. Cancelling an event
You can cancel your own live event from your dashboard if it has no paid orders. Cancelling makes the event’s tickets invalid, and, because such an event has no paid orders, Ashvyn emails the registered attendees. If an event has paid orders, its cancellation and any refunds must be handled with Ashvyn. You must comply with your obligations to attendees when an event is cancelled, postponed or significantly changed, including under consumer law. See the Refund & Cancellation Policy.
12. Suspension and removal
We may reject, suspend, remove or cancel an event or an organiser account where we reasonably believe there is a breach of these terms or the Event Listing Guidelines, a legal or safety concern, a rights complaint, fraud or misuse, or a risk to attendees. Where reasonable we will tell you why. If your account is suspended, you can still see your information but cannot create or change events. We may act quickly where necessary to protect people.
13. The service
We work to keep Ashvyn GO available, but we do not promise it will be uninterrupted or error-free, and we may change or pause features. We are not responsible for delays outside our reasonable control, including outages of providers we rely on.
14. Liability and indemnity
Each of us is responsible for its own conduct. Nothing in these terms excludes or limits any right or liability that cannot lawfully be excluded, including under the Consumer Guarantees Act 1993 and the Fair Trading Act 1986 where they apply. Ashvyn is responsible for its own services and for its own breaches of these terms. Subject to that, and to the extent the law allows, Ashvyn is not liable to you for indirect or consequential loss, or for loss of profit, that was not a reasonably foreseeable result of our breach. Ashvyn is also not responsible for the way you run your event, for your content, or for what attendees or venues do. This does not limit our liability for our own negligence, fraud or wilful misconduct.
You agree to indemnify Ashvyn against losses, claims and reasonable costs that arise from your breach of these terms, your unlawful conduct, or your content infringing someone’s rights. The indemnity does not apply to the extent that a loss is caused by Ashvyn’s own negligence, breach or unlawful conduct.
15. Versions and changes
These terms are versioned. We record which version you accepted, when, and by whom. If we make a material change we may require you to accept the new version again before you can submit or resubmit events; events that are already published are not taken down just because the terms changed, but you will not be able to submit new ones until you accept. Re-acceptance is always explicit.
16. Governing law and contact
These terms are governed by New Zealand law, and the New Zealand courts have jurisdiction. Contact us at tickets@ashvyn.co.
